Why outsource

There are a number of reasons why you might want to outsource your client payroll function to us.

These are the most frequent reasons why accountants ask us to take over their client payroll function.

Every business is different and each has it's own reasons for moving to us, but each has found an advantage in doing so.

How it works

The most popular way in which we provide this service is invisible to your clients. We do this by:

• Replacing all reference to NW Payroll on payslips and reports with either your business name and details or leaving it blank (or whatever you would like to see there instead)
• With your authority, produce letters and compliment slips in the same style as yours
• Alternatively, produce letters with no header or footer so that you can photocopy them onto your own stationery
• If we are posting the payslips and reports directly to your client we will put your business name on the outside of the envelope (or leave it blank) otherwise we will post everything directly to you so that you may forward it on to you client

Even if your client is aware that you outsource your payroll function we will still identify your business as the originator of the service if you want us to and in addition we will also, if required:

• Deal directly with your clients on matters relating to the day to day running of their payroll
• Discuss any payroll calculation queries with your clients employees
• Register for electronic submission of your clients end of year under your agency

In all cases we will send you copies of your clients payslips and reports by post so that you are always fully up to date with your clients payroll matters.

Producing the payroll

We will agree in advance the date that we will be sent each clients pay data so that we can schedule the work to be completed the next working day. The pay data will normally be sent to us on a spreadsheet or by email note for the smaller clients or the ones that only have a few changes each time.

On the day of processing we will produce all the payslips and reports and post out to you that evening. Depending on the service level we will email the reports to you the same day and request authorisation to finalise. Should there be any changes required by the client prior to finalising we will attempt to process and finalise the same day that we receive them, however, we may take up to one working day to re-process any changes and finalise.

Depending on the options selected for the client we will post out the employees payslips, the employers reports and transmit the BACS payments on the day of processing or finalising.

Client confidentiality

We will never approach your client, for any reason whatsoever, without your full authorisation in advance. We will never attempt to poach your clients. Your clients details will never be used for any other purpose than to produce their payroll.

We have a confidentiality and poaching statement that we will send to you before we start the transfer of data. In it we guarantee the confidentiality of your clients details and data, we also give you an absolute assurance that we will not make any offer of our services to any of your clients.
